Record and Approve Assets
This tool allows you to select items that represent equipment or material that are currently on order or not yet received. The internals of this tool allow you to create custom stored procedures to reach out and grab items that are in other ERP Systems so that you can do a seamless data entry of equipment or material that is on order by a purchase order or requisition number.
You may select this tool from the Top Menu or from the Getting Started section of the dashboard. The user interface for this tool allows you to search and retrieve these items, to manage both complete and partial orders, and to do simple operations such as serialize and consume items.
Selection of Items to Receive
Once you retrieve the items to receive, you can select individual items and edit the line item:

The asset category dropdown values can be changed. The user can make their selection from the category tree as shown above.
- The user can add an asset tag from existing barcodes or you can let the system generate one.
- The user can add a Serial Number, National Stock number, or a Lot Number to line item selected.
- The user can serialize an asset by left clicking on the selected line item. A small text box appears in the screen Convert to Serial Assets, the user can click on it and the asset will be serialized and listed in the same search grid.
- Enter the quantity to be recorded and set the mode of recording by selecting Make It Available, Consume or Dropship.
- The user can record and approve assets from purchase system in 3 different ways
6. After completing the above steps, the user must click the green check icon to update the line item.
7. After selecting the line items the user has edited, click on the "Update" button at the bottom of the screen to receive them. The user will be prompted to create a digital signature:
8. After entering your password, click Validate to generate the signature.
9. Clicking on Approve completes the task.
Two pop-ups windows will appear to show you a received report on the item just recorded. The thermal label printer screen will also appear so you can print the new barcodes of the items just entered.
