How to Update Existing Assets in eQuip Using the Asset Importer Overview

The eQuip Asset Importer can be used to update multiple existing asset records at one time.

When updating assets, first use Asset Search to locate and export the assets that need to be changed. The exported file provides the existing asset information, including the Asset ID used to identify the records being updated.

Before You Begin

Before performing a bulk update:

  • Determine which assets need to be updated.
  • Determine which fields need to be changed.
  • Make sure the correct assets are included in your search results.
  • Do not change or remove the Asset ID associated with an asset.

Step 1: Search for the Assets
  1. Navigate to Asset Search in eQuip.
  2. Enter the appropriate search criteria to locate the assets you want to update.
  3. Run the search.
  4. Review the search results and verify that they contain the correct assets.

Use search criteria that limit the results to the assets you intend to modify.

Step 2: Export the Search Results

From the Asset Search results, use the Export option to generate an export containing the assets you want to update.

Save the exported file to a location where it can be easily accessed.

Step 3: Update the Exported File

Open the exported file and make the necessary changes to the asset information.

Depending on the information being updated, this may include fields such as:

Do not modify or remove the Asset ID.

Only change the asset information that is intended to be updated.

Step 4: Review and Save the File

Before importing the file:

  1. Review the changes for accuracy.
  2. Verify that the Asset IDs have not been changed.
  3. Check the data for formatting errors.
  4. Save the completed file.
  5. Close the file before attempting the import.

Taking time to review the file before importing can help reduce rejected records and unintended changes.

Step 5: Import the Updated Assets

In eQuip:

  1. Navigate to Tools > Data Import.
  2. Select Asset Import.
  3. Select Select Files.
  4. Locate the completed file.
  5. Select Open.
  6. Select Import. [How to imp...a in eQuip | Word], [eQuip Trai...End Users | Meeting]

eQuip processes the file and attempts to apply the changes to the corresponding existing Asset IDs. [eQuip Trai...End Users | Meeting]

Step 6: Review the Import Results

After the import completes, review the results for any rejected records.

If a record cannot be imported, eQuip can generate a rejection file containing the rejected assets. Records without errors can still be imported from the original file. [RE: Importer Meeting | Outlook]

Common causes of rejected records include:

Correct the applicable information in the rejected records and import the corrected file again.

Step 7: Verify the Updated Assets

After the import is complete:

  1. Return to Asset Search.
  2. Search for the assets that were updated.
  3. Open the applicable asset records.
  4. Verify that the intended information was updated correctly.
Important Considerations

When using the Asset Importer to update existing assets:

  • Use Asset Search and Export to obtain the existing asset records you want to modify.
  • Keep the Asset ID associated with the correct asset.
  • Do not change an Asset ID as part of a bulk update.
  • Review the spreadsheet carefully before importing it.
  • Review rejected records and correct the identified data before attempting to import them again.
  • Verify the affected assets after the import is complete.
